Policy online - frequently asked questions (FAQ)

What is a University policy?
A University policy is a Statement of Intent that applies across structures and processes applicable to all areas of the University.

What is included in Policy online?
Policy online contains all University-wide policies and procedures that have been approved by delegated authorities. It also contains links to many of the related enabling documents such as procedures, guidelines, forms and other key documents such as the Finance and Accounting Manual and the Business Liaison Manual. The database does not contain departmental policies and procedures; these may be found on local websites.

My department has local policies, which policies should I follow?
Local policies must be consistent with University policy. University policy takes precedence over local policy.

What do I do if I can't find a document?
If you can't find a document you are looking for send us an email by using the Feedback page and we will contact you to assist.

Who is responsible for the management of Policy online?
Policy online is part of a University policy project sponsored by the Quality Advisory and Co-ordination Group (QACG). The Group is comprised of representatives from across academic and administrative groups of the University.

The project aims to improve the consistency of policy development, implementation, compliance and communication. As an initial step, an audit was conducted of all University policies available on the University website and all current, approved policies have been listed in a single web-based database for access by staff and students. Outdated policies have been removed.

The project's second phase will include:
- a consistent policy development model for all University policy
- a new section in Policy online that lists policies under development and processes for consultation.

How are the documents classified?
All the documents in Policy online have been classified according to their principal function. The major categories are:
o Study at the University
o Teaching & Learning
o Research
o Governance & University Committees
o Working at the University
o Campus, Facilities & Grounds
o Libraries, Museums & Collections
o Community Relations
o Information communication technology
o Compliance, risk management & best practice

In some instances, a document could easily sit in more than one category. Where this is the case, the document is included in both categories.

Who has access to Policy online?
Policy online is available to anyone who accesses the University of Sydney website.

Is there a printed version of Policy online available?
No. Policy online contains links to the official, most recent version of all university-wide policies and procedures in electronic form. However, all documents are printable.

If you experience difficulty with printing a document, please contact the Policy Owner.

Will Policy online be kept up-to-date?
Yes, absolutely. Policy online will always contain the most up-to-date version of any University policy or procedure.

Policy online does not display new policies or procedures that have yet to be approved. However, once approved the new policy or procedure will appear on the website and be available for viewing and printing. Other methods of communication will also be used as appropriate.

Who do I contact to get more information about a particular policy or procedure?
Any queries about a policy or procedure should be referred to the Policy Owner in the cover page to the document. The Policy Owner is responsible for day-to-day administrative enquiries about each document. This area will also be the first contact during the review process and will have task responsibility for the document's validity and currency. Operational responsibility may also sit with this area or with a related committee.
