Achievements to date

Initial investigation phase

The Research Management Program has been in existence since 2006 (it was originally known as the RIMS project). Much of what was achieved in the first 18 months was essential preparation, to lay the groundwork for what will be a large-scale change for the University. Some of the key milestones were:

  • ‘As is’ research management and administration processes mapped (Jan 2007)
  • Documentation of high level business requirements completed (Apr 2007)
  • Program governance (Steering Group and Project Board) in place (Apr 2007)
  • Request for Tender (RFT) for procurement of an off-the-shelf system closed (Jun 2007)
  • High level ‘to be’ research management and administration processes mapped (Oct 2007)
  • InfoEd selected as software provider and contract signed (Nov 2007)

Development, Implementation & Validation phase

By mid-November 2007, with the contract signed and the program team assembled, the Research Management Program entered a new phase focused on capability design and implementation for Horizon 1:

  • The ICT specialists in the Technical/Infrastructure team are engaged in defining technical architecture, technical infrastructure setup, software installation, and system integration.
  • The Analysis & Configuration team are concentrating their efforts on data preparation for migration to RIMS, process analysis and design, system configuration and design of data feed from HRIS(T2).
  • The Change Management team are undertaking a comprehensive stakeholder engagement process, meeting with staff in the Research Office, faculties and affiliated institutions, and are overseeing user training.

Some of the key milestones in 2008 were:

  • Australian InfoEd Community Advisory Group (ICAG) established, comprising the University plus four other Australian institutions (Jan 2008)
  • Completed User Reference Groups for Grants Management (Proposal Tracking Module Go-Live 1) (May 2008)
  • Achieved Go-Live of first RIMS module, ‘Proposal Tracking’ (PT), together with new and streamlined processes (Sep 2008)
  • Trained and provided access to RIMS for the majority of identified PT users at the local level. Handed over ongoing PT training to the University’s Enterprise Application Training team (Dec 2008)
