Approving leave
Leave requests can be actioned by:
- using the Approval Status buttons on the Approve Requests page
- opening the record (View and Update Request window) from the Approve Requests page to view more details and select an action
Approve Requests
To action a request:
- Select the Approvals folder.
- Select Approve Requests.
- Select your response to the request; Approve, Reject or Escalate.
- Select the Update button. An email will now be sent to the employee.
- Check the details in the confirmation screen.
Please Note: If Approve or Escalate cannot be selected you will need to view the record in order to approve or escalate the request.
To view the record before actioning the request:
- Select the Approvals folder.
- Select Approve Requests.
- Select the underlined Record No. of the request you would like to view and action.
- The View and Update window will open.
This page allows you to:
- view the details of the leave (including if the employee has a medical certificate that needs to be sighted)
- view any warning that may be associated with the leave request
- view the employee’s leave balance and history, as well as your team calendar, by using the hyperlinks under the heading Additional Info
- reject, approve, defer or escalate the request.
To action a leave request from the View and Update window:
- Select the drop down arrow next to Approval Status.
- Select Rejected, Deferred*, Escalated or Approved.
- If you have selected Deferred you will need to select the calendar icon next to Reactivation Date to set a date.
- Add a comment if required.
- Select the Update button. An email will be sent to the employee.
- Check the details in the confirmation screen.
You need to approve leave within 7 days of receiving the email notification. If you do not approve the leave within 7 days the approval will be delegated to your supervisor, who has another 7 days to approve the leave. If your supervisor does not approve the leave within 7 days the HR system will automatically approve it.
*Deferred is used when you would like more than seven days to make a decision on a leave request. By selecting Deferred the request will not automatically escalate to your supervisor unless you have not actioned the request by the date you have entered, the Reactivation Date.
Approval History
To view your approval history:
- Open the Approvals folder on the menu.
- Select Approval History.
- Enter your query criteria or simply leave the fields blank to view all of your history.
- Select the Find button.
