I will be away on leave and unable to approve timesheets?
Contact HR Service Centre to change the supervisor to another nominated supervisor for the period you are away.
I have received a timesheet for staff member who does not report to me.

Can I override costing on the timesheet?
Yes.
What is my deadline to approve timesheets?
The deadline for approvals is midnight Friday prior to pay day.
Can I as the approver of a timesheet change the costing on the timesheet if it is incorrect?
Yes – the supervisor can access the timesheet to change the RC, PC or AC fields only. No other fields can be updated.
If an incorrect paycode is used by the staff member and it is approved by the supervisor, how can this be fixed.
The supervisor will have to contact the HR Service Centre.
Will the HR Service Centre contact supervisors if there are unapproved timesheets on the Monday morning before the pay?
Every effort will be made to contact supervisors to get timesheets approved.
What if supervisors do not know what paycode to use?
Download these lists of general staff paycodes or academic paycodes or contact the HR Service Centre.
Have supervisors got access to the instructional video?
Yes – it is part of the help that is available once they log onto myHROnline.
Will the HR Service Centre run a training session for my department?
Yes, training sessions can be arranged on request. Contact the HR Service Centre.
If a staff member enters “override costing” on the timesheet does this change the default values?
This will only change the costing for this day – if no costing is entered the default costing will be used.
What do I do if I find there is incorrect information in the timesheet?
You can query the timesheet and send it back to the staff member for alteration.
What happens if the staff member submits a timesheet that has to be queried and I cannot get in contact with them before the pay cut off?

Currently, I have staff who are employed as sessional academics; can they continue to be employed in this way?
We are phasing out the sessional academic trial and from the first semester in 2010 all sessional academics will either need to be set up as casuals – and follow the new casual employee process or, alternatively you may wish to set them up on a fixed term contract. The new EBA recognises teaching only staff which may provide more options for managing your casuals.
If you have already begun issuing sessional contracts for the second semester 2009, your staff can remain as sessionals for this year and follow the same process they have previously, or you can set them up as casuals, following the new process.
The Position Management team will be including sessional academics in the position structure review they are currently conducting.
